Job Overview

The Events and Admin Coordinator plays a key role in supporting Chamber events, communications, and member engagement. This position ensures smooth operations in event planning, administration, and day-to-day office support.

Key Responsibilities

Event Planning & Coordination

  • Coordinate all aspects of events, including ticketing, venue, food & beverage, equipment, entertainment, promotional materials, and volunteers.
  • Oversee event execution onsite, ensuring smooth setup, operation, and breakdown.
  • Implement and maintain the annual calendar of events with the support of the Member Engagement and Events Manager.
  • Track and fulfill sponsorship benefits and recognitions.
  • Recruit, schedule, and coordinate event volunteers and administrative support.

Event Registration & Financial Tracking

  • Engage members and the community to encourage attendance and participation.
  • Coordinate registrations through the Chamber’s CRM; process payments and track guest preferences.
  • Maintain accurate financial records, tracking event-related expenses and reconciliation.

Marketing & Social Media

  • Upload event listings across the Chamber calendar, website, and social media platforms.
  • Manage marketing materials such as event pages, signage, presentations, and posts under the direction of the Member Engagement & Events Manager.
  • Implement digital campaigns (email eblasts and social media).
  • Catalogue event photos and implement post-event communications.

Membership & Customer Experience

  • Provide exceptional customer service to members, visitors, and sponsors.
  • Serve as the first point of contact for members and the public.
  • Promote Chamber services and events through regular communication (e-blasts, updates, etc.).
  • Maintain member records in the CRM, handle invoicing, and report on engagement.
  • Coordinate with group insurance and member savings plan providers.
  • Ensure timely membership renewals and payments.

Office & Administrative Support

  • Answer phones, respond to inquiries, and provide general office support.
  • Manage boardroom and equipment rentals.
  • Audit and update Chamber website content to ensure relevance.
  • Assist with Chamber-affiliated social media and communications.
  • Support office maintenance (garbage, recycling, and organization).
  • Maintain garage in orderly condition.
  • Provide administrative support for the Executive Director and Tourism Coordinator as required.

Other Duties

  • Provide visitor support when the Visitor Centre Coordinator or summer staff are unavailable, ensuring a high standard of customer service for all guests.

Required Skills & Qualifications

Education & Experience

  • Minimum Grade 12 education required; post-secondary in event planning, hospitality, tourism, or a related field preferred.
  • Experience in event coordination, hospitality, or the non-profit sector is an asset.
  • Entrepreneurial or sponsorship-fulfillment experience is a plus.

  • Interpersonal & Customer Service: Strong communication, integrity, and discretion with members and stakeholders.
  • Time Management: Ability to manage multiple tasks and deadlines with attention to detail.
  • Proactive & Independent: Self-motivated, able to take initiative while supporting team goals.
  • Problem Solving: Strong critical thinking and creative approach to challenges.
  • Tech-Savvy: Proficient with Microsoft 365, CRM systems, and social media (Canva and Meta Suite an asset).
  • Flexibility: Adaptable approach to various types of events and projects.

Additional Requirements

  • Valid BC Driver’s License and access to a vehicle for daily work activities.
  • Availability for some evening and weekend work, particularly around events (with time off in lieu).
  • High attention to detail and accuracy.
  • Previous office or member services experience is desirable.

Benefits & Compensation

  • Pay: $25/hour
  • Hours: Flexible 25–35-hour work week, depending on scheduled events
  • No time off permitted before or during the annual Fish Derby (Labour Day Weekend)
